Privacy notice

Last updated: 22 September 2026

This notice explains how we handle your personal information when you visit prospectuspress.com or contact us about a book project.

Who is responsible for your information?

Martin Samsel, operating Prospectus Press, is the controller responsible for the personal information described in this notice.

For privacy questions or requests, email martin@prospectuspress.com.

Our services are for business customers. Information about an individual business owner or a person contacting us on behalf of a company can still be personal information.

What we collect

Please avoid including sensitive personal information, confidential client records or other people’s personal information in your initial inquiry unless it is necessary and you are entitled to share it.

Why we use it

PurposeLegal basis under the GDPR
Assess your inquiry, discuss your project and prepare a proposalSteps you request before entering a contract where you would be the contracting individual; otherwise our legitimate interest in responding to business inquiries and arranging services with your organisation.
Operate the website, prevent spam and investigate misuseOur legitimate interest in maintaining a reliable, secure website and protecting business communications.
Keep records required by law or address legal claimsLegal obligations where applicable, and our legitimate interest in establishing, exercising or defending legal claims.

Submitting an inquiry does not subscribe you to a newsletter. We use it to discuss your request and relevant next steps. Required form fields help us assess the project and respond; without them we may be unable to process your inquiry.

Who receives your information?

We use service providers for website hosting, form handling and email communications. They may process information needed to provide those services. In particular:

Information may also be disclosed to professional advisers or public authorities when needed for legal obligations or claims. If we begin a client project, additional information handling may be addressed in our project agreement.

International processing

Our providers may process information outside your country, including in the United States. Data-protection laws can differ between countries. Where European data-transfer rules apply, appropriate transfer arrangements are required, such as an applicable adequacy decision or standard contractual clauses. Netlify describes its arrangements in its Data Processing Agreement. Contact us for details of the safeguards applicable to your information.

How long we keep information

We keep inquiry information for as long as needed to assess and respond to your request and complete relevant follow-up. In deciding when to delete it, we consider whether discussions are ongoing, whether you become a client, and whether records are needed for legal obligations or claims. Client and accounting records may need to be retained for longer under applicable requirements. Copies held in provider backups may remain until those backups are replaced or expire.

Cookies, analytics and advertising

We use Google Ads to advertise our services. If you accept cookies in our cookie banner, our website loads the Google tag, which uses cookies to measure whether visits from our ads lead to an inquiry. This may involve information such as your IP address, browser and device type, the pages you visit, the ad you clicked and whether you submitted our inquiry form.

If you decline, advertising cookies are not set. Google may still receive limited, cookieless signals (for example, that a page was visited) to help measure ad performance in aggregate.

Google processes this data under its own privacy policy: policies.google.com/privacy. Google may transfer data to the United States; Google LLC is certified under the EU-U.S. Data Privacy Framework. You can manage ad personalization at adssettings.google.com.

The legal basis for advertising cookies is your consent. You can change or withdraw it at any time using the Cookie settings link; this does not affect processing carried out before you withdrew it. Advertising cookies are typically stored for up to 90 days.

Hosting and security services may also process technical request information needed to run and protect the website. Externally loaded fonts are described above.

Your choices and rights

Depending on applicable law, you may request access to, correction or deletion of your information, restriction of processing, or a portable copy. You may object to processing based on legitimate interests. These rights have conditions and exceptions.

Contact martin@prospectuspress.com to make a request. We may need to verify your identity. Where the GDPR applies, we normally respond within one month; we will explain any permitted extension.

You may complain to your local data-protection authority. In Poland, this is the President of the Personal Data Protection Office (UODO). You do not have to contact us first.

We do not use inquiry information for solely automated decisions that produce legal or similarly significant effects.
